Expenses<\/strong><\/p>\n The list of expense can be filtered by status \u00ab All \u00bb, \u00ab Paid \u00bb and \u00ab Other \u00bb.<\/p>\n For each expense, the number of bills, the period and the amount is indicated.<\/p>\n [\/five_sixth_last] [three_fifth] Creation of an expense<\/strong><\/p>\n To save time, the title is automatically set as the current month and the current profile is selected.<\/p>\n You can modify all these elements as you like.<\/p>\n [\/five_sixth_last] [three_fifth] Creation of a receipt: category of expense<\/strong><\/p>\n First, you need to select the expense category. Some fields depend on the category: distance, number of nights …<\/p>\n [\/five_sixth_last] [three_fifth] Creation of a receipt: mandatory fields<\/strong><\/p>\n Many fields are pre-filled: date, mean of payment, currency, VAT. In most cases, there is only the amount that must be filled!<\/p>\n In the case of a mileage invoice, the amount is automatically calculated after selecting the vehicle and entering the number of kilometers.<\/p>\n The default \u00ab mean of payment \u00bb and \u00ab VAT \u00bb values are configured within the expense category.<\/p>\n [\/five_sixth_last] [three_fifth] Overview of the expense<\/strong><\/p>\n List all receipts entered for the expense with various information such as the expense category and the amount.<\/p>\n [\/five_sixth_last] [titled_box variation=”silver” title=”2. Set up and use the application”] [three_fifth] General settings<\/strong><\/p>\n These are general application options.<\/p>\n Remark:<\/strong> we recommend you to choose \u00ab Photo quality = Good \u00bb to keep PDF files suitable size without compromising quality.<\/p>\n [\/five_sixth_last] [three_fifth] Referential: profiles<\/strong><\/p>\n Profile information are displayed in the header of the PDF, including the company logo.<\/p>\n [\/five_sixth_last] [three_fifth] Referential: customers & projects<\/strong><\/p>\n You can create as many customers and projects that you want. When creating a customer, you can import it from the Contacts application.<\/p>\n [\/five_sixth_last] [three_fifth] Referential: currencies<\/strong><\/p>\n More than 160 currencies are present in the application!<\/p>\n If your currency is not present, you always can create it.<\/p>\n [\/five_sixth_last] [three_fifth] Referential: expense categories<\/strong><\/p>\n Within each expense category, you can specify the rates of VAT and the mean of payment used by default to save time when entering receipts.<\/p>\n [\/five_sixth_last] [three_fifth] Referential: fixed price<\/strong><\/p>\n Ideal when requests claims follow a bundle or are recurring: for example, a meal allowance for each day worked.<\/p>\n [\/five_sixth_last] [three_fifth] Referential: vehicles<\/strong><\/p>\n All relevant information to enter your mileage reimbursement requests.<\/p>\n [\/five_sixth_last] [three_fifth] Referential: miscellaneous<\/strong><\/p>\n Other referentials are available: types of meals, cost accounting, merchants, places & guests at meals.<\/p>\n [\/five_sixth_last] [titled_box variation=”silver” title=”3. Customize of PDF export”] [three_fifth] General settings<\/strong><\/p>\n Select the title and the sort order when printing receipts but also the columns to display in the PDF file.<\/p>\n [\/five_sixth_last] [three_fifth] Data to be displayed<\/strong><\/p>\n You can control what information must be printed with each receipt.<\/p>\n [\/five_sixth_last] [three_fifth] Vehicles<\/strong><\/p>\n In the case of mileage allowances, indicate informations you want to be displayed on the PDF export.<\/p>\n [\/five_sixth_last] [three_fifth] Colors<\/strong><\/p>\n The colors of the different tables can be customized according to your company charter.<\/p>\n [\/five_sixth_last] [three_fifth] Synthesis<\/strong><\/p>\n To enrich the PDF document, you can add synthesis by customer, project, expense category, accounting, merchant and mean of payment.<\/p>\n [\/five_sixth_last] [titled_box variation=”silver” title=”4. Complete entry of an expense”] [three_fifth] Expense<\/strong><\/p>\n In addition to the title and the profile, you can specify the default settings to use in receipts of this expense.<\/p>\n Each receipt will then use this information while remaining editable.<\/p>\n [\/five_sixth_last] [three_fifth] Receipt: header and amount<\/strong><\/p>\n A label can be placed for easy pointing an expense.<\/p>\n You can associate as many receipts as you want.<\/p>\n [\/five_sixth_last] [three_fifth] Receipt: VAT<\/strong><\/p>\n VAT rates are automatically taken from the setting of the expense category. However, you are free to take them back and change them at will.<\/p>\n [\/five_sixth_last] [three_fifth] Receipt: specific<\/strong><\/p>\n For specific categories such as hotel, plane, taxi, train, mileage allowances, meal and fixed price additional informations are required to enrich your PDF and CSV files.<\/p>\n [\/five_sixth_last] [three_fifth] Receipt: miscellaneous<\/strong><\/p>\n The invoice can be identified as to be billed to the customer.<\/p>\n Various information can be added: comments, customer, project, merchant and cost accounting.<\/p>\n [\/five_sixth_last]
